  • Keeping it short and precise.


    Business letters should be short and in brief. The letter should be compact and should summarize the purpose in as short as possible. The length of the letter should rarely ever exceed a page as the reader might find it too long and skip it. The letter should contain around 350 – 450 words at the maximum. It’s always better to leave long discussions or descriptions to personal meetings or telephone conversations.

  • Keep the needs of the recipient in mind.


    What does the recipient want to know from you? What do you want to convey to the recipient? Will the recipient understand your message exactly as you intended or is there any scope for ambiguity? In business writing it is extremely essential that the message is clear and unambiguous as it can have adverse effects on the recipient.

  • Simple and clear language.


    The language should be very simple and correct. There should be no grammatical errors or spelling mistakes. Use of very technical terms or words should be avoided. The length of the paragraphs should be short. The words and terms being used should be conventional and easily understandable by the recipient. If any acronyms and abbreviations are being used then they should be explained.

  • Draft, check and revise if needed.

    First make a draft of the letter and then check for any obvious errors or mistakes. Check if you have conveyed all that you wanted to. Check if the tone of the letter is correct. Make the necessary changes then go through it once again. It helps if you read out the letter to yourself and feel how it might sound to the recipient.

  • Check for grammatical and spelling errors.

    Your letter and writing reflects you as a person and the organization you represent. It is therefore very important that the grammar is right and there are no spelling mistakes. Using a spell-checking tool is a must to ensure that there are no mistakes in your letter.
